VMC Meeting Report

1.     Additional Sections and Provision of  Infrastructure :- Letter already written to the GE MES for estimates.

2.     Medical Check-Up of Students : - Medical Check-up is initiated and in progress

3.     Permission To Co-Opt Student Members on VMC & VEC :- Co – opted as special invitees

4.     Regarding Road Carpeting, Provision of  III Computer Lab and Purchase of Furniture: - submitted for approve to the regional office and reply awaited. Letter No. F.KVSJ/2008/1976 dated 19.05.08 for computer lab, Letter No. F.48/KVSJ/2009/101 dated 21.05.09 for furniture.

5.     New Rules on Service Providers:- The VMC directed that purchase be made adopting the market survey procedure.

6.     Discipline:- The sponsoring agency agreed to provide manpower for patrolling the school periphery.

7.     Board Class Result:- Coaching camps during breaks and after school hours.

 

 

VEC Meeting Report

 

1.     AMC of Civil & Electrical M&R :- Approved and in place.

2.     Fire Proofing & Replacement of Damaged (Furniture & Fixtures) :- In progress.

3.     Renovation Of Library :- To be initiated after the boy cricket tournament  04.11.09 to 16.10.09.

4.     Permission for the Reflooring of Principal’s office :- To be initiated after the boy cricket tour 04.11.09 to 16.10.09.

5.     Purchase Of Sapling: - Purchased and  planted approximately 200 plants

6.     Payment For Expenses Incurred on Hosting The KVS National Cricket Meet :-  Approved by VEC.

7.     Permission to purchase furniture for furnishing the computer lab / junior science lab etc:- Proposal pending with the chairman’s office

 

 

MINUTES OF VIDYALAYA MANAGEMENT COMMITTEE  MEETING

 

The meeting of Management Committee of Kendriya Vidyalaya Suranussi was held on Saturday, January 17,2009 at 10.00 a.m. in the Vidyalaya. Major Yash Chhibber admin. Officer 223 ABOD, Chairman’s Nominee presided over the meeting.

WELCOME

Floral welcome was accorded to Major Yash Chhibber Chairman’s Nominee by the Principal Mr. G.S. Sethi, Formal welcome was extended to all the members of VMC by Mrs Punita PGT English of the Vidyalaya

 

 

1.)     CHANGE OF KVS EMBLEM

It was brought to the knowledge of members of VMC that the Board of Governors of KVS in its 79th meeting had modified the existing emblem. The new emblem was shown to the members of VMC. Permission was granted by the Chairman’s  Nominee to engage a painter for painting the new emblem and to get the required stationary printed with new emblem

 

 

2.)    ASSESSMENT OF HALF YEARLY EXAMS RESULT

Result of Half Yearly Exams held in the month of November 2008 was discussed in the meeting. Class wise and subject wise result analysis was also done.

 

 

3.)    REVISION OF VVN BUDGET

As per the instructions contained in KVS , NEW DELHI, letter no F-6/2007-08/KVS(BUDGET) dated 06\07\07 revised budget proposal in respect of Vidyalaya Vikash Nidhi Account for the year 2008-09 was put up before the members of VMC in the meeting for approval and was approved.

 

 

4.)    STAFF STRENGTH /VACANCY POSITION AND ITS EFFECT ON SCHOOL WORKING

Information about staff strength / vacancy position for the session 2007-08 and its effect on the working of the Vidyalaya was furnished to the members of VMC, Since two posts of lab attendants have been lying vacant in the Vidyalaya, hence the Chairman’s Nominee was requested to write to the KVS authorities for filling up the same.

 

 

5.) INSTALLATION OF WATER HARVESTING PROJECT

The members of VMC were made aware of the contents of letter no F-6-15/2007-KVS(WB) dated 2nd DEC 2002 regarding the need of Rain Water Harvesting in Kendriya Vidyalayas . It was brought to the knowledge of members of VMC that a proposal for installation of Rain Water Harvesting  had been submitted to CPWD for preparation of project for the Vidyalaya.

 

 

 

 

6.) RAISING OF A NCC UNIT – ARMY/AIR/NAVY

The members of VMC were informed that a unit of NCC Naval Wing (boys) was sanctioned for our Vidyalaya by D.G., NCC New Delhi vide letter no F-241/OSD(DEF)KVS/OS NCC dated 13/06/08. This was communicated by KVS JR vide letter no F 7-13/2006-KVS(JR) NCC

Proposal for this had been submitted to D.G., NCC by the Vidyalaya as per KVS guidelines. But nothing had been communicated by Group Headquarters for further start of NCC in the Vidyalaya . It was resolved in the meeting that a letter to Directorate General NCC (P, H, HP, C) at CHD will be written for starting NCC troop for the session 2009-10.

 

 

7.) IMPROVEMENT OF BOARD CLASSES RESULT

The members of VMC were apprised of the special arrangements made at the Vidyalaya level for ensuring good results, as per guidelines issued by Vidyalaya authorities after the result analysis carried out at the Cluster/ Regional level.

 

 

8.) EMPANELMENT OF CANDIDATES FOR THE SESSION 2009-10

It was decided in the meeting that a panel of teachers for all the subjects would be prepared in the last week of February 09, so that the services of empanelled candidates may be utilized, in case, the post of a teacher falls vacant on account of a transfer or proceeding on long leave.

 

 

9.) EDUCATIONAL TOURS / TRIPS FOR PRIMARY MIDDLE CLASSES

The members of VMC were informed that local excursions and tours to the places of educational interest (in groups) are to be organized to give exposure and for all round development of the students, as per guidelines issued by KVS for the students of Primary and Middle classes. The Chairman’s Nominee was requested to make provision of buses for the said purpose if possible and for to and fro journey of students to the examination centre (board classes) w.e.f. March 1, 2009.

 

 

10.) OUT SOURCING OF CONSERVANCY, SECURITY & GARDENING WORK

It was resolved in the meeting that bids and quotations will be called by giving a Tender Notice in the newspapers for outsourcing of conservancy, security and gardening work for the session 2009-10.  Approval to advertise the same in the newspapers was given.

 

 

11.) RENTING OF BOOK SHOP/ CANTEEN/ TELEPHONE FACILITIES FOR 2009-10

Permission was granted by the members of VMC for renting the school canteen, bookshop and providing telephone facilities to the students for the session 2009-10.The Chairman’s Nominee directed that the tender notice be published in the news- paper for short listing the interested parties.

 

 

12.) SPECIAL REPAIRS OF THE SCHOOL PLANT & M&R  WORK OF SCHOOL CAMPUS

Since the Vidyalaya is in a dip, the building had suffered extensive damage due to heavy rains and termite attack. So there is need of special repairs of the school building. Proposal had been submitted to the KVS authorities for the same.

 

 

13.) UP GRADATION OF COMPUTER LABS

A decision was taken in the meeting to replace the outdated computers with the new ones. A third computer lab needs to be set up in the Vidyalaya, as per guidelines issued vide letter no F 22-4/2007 KVS(JR) Comp. Infra.

 

 

14.)    ADMISSION FRESH & T.C.

The member of VMC were made aware of the contents of letter no F 28-66/2006-KVS(Acad) dated 30/12/08 . Regarding Admission Schedule for the session 2009-10 and letter no F 28-6/2005-KVS(Acad) dated 7/01/08 Regarding Amendments in Admission Guidelines.

 

 

15.)    AMC OF CIVIL/ELECTRICAL M&R

 The proposal to outsource the maintenance and repair work (Civil / Electrical) was discussed and the nominee chairman instructed that the detailed proposals be put up to the chairman for the  approval  @ 3000/- per month for plumbing /civil works, @ 2000/- per month for electrical work.
